How to create a moving company invoice

A moving invoice records the final charges for completed relocation work and requests payment. It should connect the customer and move details to itemized labor, transportation, materials, approved extras, payments, and the balance due.

Identify the move

Add the customer, pickup and delivery addresses, service type and dates, job number, truck or unit, and a supporting estimate or customer reference when useful.

Itemize the completed work

List the crew or service rate and hours separately from truck, trip, mileage, packing, storage, stairs, long carry, bulky-item handling, or other approved charges.

Reconcile the final balance

Show any discount, applicable tax, deposit or prior payment, due date, payment instructions, and the final amount due.

What should a moving company invoice include?

Include the moving company and customer details, invoice and due dates, pickup and delivery addresses, move dates, job number, itemized crew or service charges, transportation, packing materials, approved extras, tax, deposits, payment terms, and the final amount due.

Can I use this for local, long-distance, residential, and office moves?

Yes. The fields support local or long-distance residential work, office and commercial moves, labor-only help, packing-only jobs, and related storage or accessorial charges. Requirements and pricing practices vary, so use the records and terms that apply to the actual move.

How do I invoice moving labor by the hour or at a flat rate?

For hourly work, enter the crew or service name, hours, and the total hourly rate for that listed service. For a flat-rate service, use quantity one and enter the agreed amount as the rate. Create separate lines when services use different rates.

Does the crew rate mean a per-mover rate?

Not automatically. This template multiplies hours by one listed rate, so label the line clearly. If the rate is for the whole crew, say “two-person crew” or similar. If each mover is billed separately, create separate lines or calculate the agreed combined rate before entering it.

How should mileage, truck, and travel charges appear?

List the basis in plain language: miles, trips, truck use, travel time, fuel, tolls, or a flat transportation fee. State the route or relevant detail and use the quantity and rate that match the customer agreement; this tool does not calculate routes or mileage.

Should packing materials be itemized?

If they are billed separately, list boxes, tape, wrap, paper, pads, crates, or other materials with quantities and unit prices. If materials are included in another rate, describe that inclusion instead of charging them again.

How should stairs, long carries, storage, or bulky-item fees be billed?

Add each agreed or approved charge as a separate line under packing materials and additional services. Describe the basis—such as flights, distance, days, item type, waiting time, or special handling—so the customer can match it to the move record.

How do I show a moving deposit or prior payment?

Enter the amount already received in Deposit / prior payment. It is deducted after the subtotal, discount, and applicable tax so the invoice shows the remaining balance. Issue a separate receipt if the customer needs proof that a payment was received.

Are moving labor, mileage, and packing materials taxable?

Tax treatment varies by jurisdiction, customer, service, and charge type. Select only the sections that are taxable and confirm the correct rate. This generator does not determine taxability or file tax returns.

Is a moving invoice the same as an estimate or bill of lading?

No. An estimate describes anticipated work and charges before the move. An invoice requests payment for completed work. A bill of lading records shipment and transportation terms and may also serve as a freight bill. Keep every separate document required for the move.

Can this generator create FMCSA or state-required moving documents?

No. It creates an invoice only. It does not create an order for service, bill of lading, inventory, valuation or liability disclosure, consumer notice, estimate, or other regulated form. Interstate household-goods movers should follow current FMCSA requirements, and local movers should confirm state and local rules.

Is customer and move information uploaded to a server?

No. The draft is stored locally in this browser, and the PDF is created on your device. No account is required. Other people using the same browser profile may be able to view the saved draft, so avoid door or alarm codes, full card or bank details, government identifiers, and unrelated sensitive customer data.
