Contractor billing guide

How to make a contractor invoice

A contractor invoice should connect every charge to the agreed project, completed work, and billing period. Separating cost types makes review easier for property owners, general contractors, and project managers.

01

Identify the job

Add the project name, job number, job-site address, billing period, and any approved change-order reference.

02

Separate cost types

List labor hours and rates apart from materials, rentals, equipment, disposal, permits, or other agreed charges.

03

Show the payment calculation

Display subtotal, applicable tax, retainage withheld, prior payments, due date, and the final balance due.

This generator is designed for construction and trade contractors billing job-site work. For creative, consulting, or other independent project work, use the freelance invoice generator.

Contractor invoice FAQs

What should a contractor invoice include?

Include contractor and customer details, an invoice number, issue and due dates, project and job-site information, an itemized breakdown of labor, materials, and equipment, applicable tax, retainage, prior payments, payment instructions, and the balance due.

Should labor and materials be separated?

Yes. Separate sections help the customer verify hours, rates, material quantities, markups, and equipment charges. They also make it easier to apply tax only to the categories that are taxable in the relevant jurisdiction.

What is retainage on a contractor invoice?

Retainage is an agreed percentage of earned payment withheld until a project milestone or completion condition is met. Enter only the retainage required by the contract, and show it separately from tax and prior payments.

Can I include a change order?

Yes. Add the approved change-order number in the project details and describe the extra work or materials in the appropriate billing section. Keep the signed approval with the project records.

Does this generator decide which contractor charges are taxable?

No. Tax rules vary by location and type of work. You can mark each cost section as taxable or not taxable, but you should confirm the correct treatment and rate for the project.

Is my contractor invoice uploaded to a server?

No. The draft is stored locally in this browser, and the PDF is created on your device. No account is required.
